Legal Secretary

Arnold, Newbold Sollars & Hollins, P.C. has an immediate opening for an experienced Legal Secretary.  This position supports a dynamic executive team that includes three shareholders. In this position, you will engage with the firm as you provide legal administrative support for attorneys and their clients. This integral support position requires the ideal candidate to be reliable and possess superior communication, organization and time management skills.

The Legal Secretary position involves all aspects of general administrative functions in a fast-paced environment. Candidate must work well under pressure and have the ability to maintain confidentiality. This position involves proofreading and editing correspondence, creating and maintaining spreadsheets, templates and other materials, special projects, file maintenance (electronic and paper) and ensuring accurate and timely completion of various meeting minutes.

The Legal Secretary will be a resourceful self-starter who is able to think quickly on their feet and fulfill up-to-the-minute requests. The ability to remain poised under pressure and to adapt to changing office needs will guarantee the candidate success in this role.

Legal Secretary Responsibilities:
In addition to general administrative duties,

  • Preparing court documents and filing of same through ECF in federal and state courts.

  • Copying and scanning documents for document management.

  • Transcribing from dictation tapes and proofreading documents, including emails, letters and memos.

  • Maintaining litigation files, including pleadings and discovery.

  • Managing multiple tasks effectively with interruptions.

  • Initiative and willingness to assume additional responsibilities, make decisions, and exercise sound judgment as needed beyond the scope of the job description.


Legal Secretary Qualifications:

  • Minimum of 5 years in a high-level administrative role is preferred.

  • Proven experience with managing highly confidential and sensitive information.

  • Must be detail-oriented, comfortable juggling tasks from the routine to the extraordinary, and possess a demonstrated ability to work productively in a fast-paced environment with a proactive and positive attitude.

  • Ability to manage multiple projects simultaneously and meet multiple deadlines.

  • Excellent communication skills to effectively interact with attorneys and administrative team members.

  • Demonstrate expertise with Microsoft Word, Outlook and Excel and other applications. (Candidates will be screened).

  • Ability to type quickly and accurately.

  • Audio transcription.

  • Demonstrate a courteous and professional demeanor.
